Cherokee Nation Entertainment, LLC, (CNE), a wholly owned tribal company of the Cherokee Nation, is seeking qualified bids for the sound and lighting services at Cherokee Casino Fort Gibson, located in Fort Gibson, Oklahoma. GENERAL Cherokee Casino Fort Gibson is seeking proposals from qualified Offerors to provide technical support and professional sound services for live entertainment. Offerors that can provide ‘turn-key’ services to manage both lighting and sound is required. All necessary equipment is provided. Events listed in the Scope of Services’ paragraph are regular events; however, Cherokee Casino Fort Gibson reserves the right to add, delete, or otherwise change events, programming, and scheduling according to customer requirements and/or annual appropriations. Services provided within this Request for Proposals (RFP) of this contract may be extended to other departments for special events as required. Specifications and requirements will be separately negotiated in advance for new/additional events. DESCRIPTION The 3 Rivers Tavern Stage is a professional performance space with surrounding seating. This stage is used for our headlining entertainers and is a free admission show. Shows have traditionally been held at 9pm each Friday and Saturday night. A copy of the March 2016 lineup is included at the end of the RFP for your review. SCOPE OF SERVICES REQUESTED Professional sound and lighting services are required for 8-10 events each month: Every Friday and Saturday At least four hours each event Provide appropriate filler music for in between sets CONTRACT PERIOD The contract period shall be from the date of award, (approximate date of a resulting contract to be March 1, 2016 through September 30, 2016 with options to renew, at Cherokee Casino Fort Gibson sole discretion, for three (3) additional years in one (1) year increments. Extension periods shall be automatic unless written notice is given by Cherokee Casino Fort Gibson to the contractor with at least sixty days (60) notice that renewal options will not be elected. NOTE: Cherokee Casino Fort Gibson operates on a fiscal year from October 1 through September 30. Purchase orders are good through the end of a current fiscal year. New purchase order(s) are issued at the beginning of each fiscal year to cover the remainder of the current contract period and subsequent renewal periods.
